We kicked off 2024 with game-changing additions to our workplace solutions:
- GemEx for Outlook:
We understand that meeting scheduling can become a hassle, especially for employees juggling packed calendars. It is why we focused on creating an Outlook plug-in to help you search, create, and manage room bookings while effortlessly adding services—all in one smooth booking journey. GemEx for Outlook Add-in integrates seamlessly into Microsoft Outlook, enabling employees to book meeting rooms directly from their familiar interface and eliminates unnecessary steps to elevate your workplace experience.
- Employee Collaboration:
Communication and collaboration are the backbone of successful hybrid teams, and our new Employee Collaboration feature, an extension to our , was built with this in mind. Know where your colleagues are sitting, use map view to get directions to a colleague’s location or book a desk right next to your teammate. This feature puts the information you need right at your fingertips to fosterer better collaboration and strengthens team dynamics.
- Booking Manager:
Designed to make meeting room bookings smarter, Booking Manager takes the guesswork out of office planning. With a user-friendly interface and a comprehensive overview of your organisation’s meeting room usage, booking admins can help employees quickly find and book the right workspace or meeting area that suits their needs. With Booking Manager, you can effortlessly manage meeting spaces, ensuring that every booking is well-organised and conflict-free.
- Smart Lockers:
In an era where flexibility and security are key, our Smart Lockers feature offers a streamlined solution for modern workplaces. Employees can securely store their personal belongings, parcels, or equipment with ease, while organisations can optimise space usage and ensure a hassle-free experience. Smart Lockers integrates with the Vecos smart locker system through our GemEx platform to help businesses create smarter, connected, and secure office environments.

Commitment to Innovation
Companies everywhere are jumping on the Artificial Intelligence (AI) bandwagon but at Spica, we decided we’re taking a different path as we believe in transparency and honesty about what our technology truly offers. While many of our competitors are labelling their features as AI or AI-enabled, we’ve made a conscious decision to only describe features as AI, when they truly are. Instead we will continue to provide our customers with well-designed algorithms, automations and user data integration. We will also continue to partner and integrate with leading AI driven tools like Kontent.ai to to provide our users with powerful AI features that enhance content creation, governance, and distribution.

This year wasn’t just about technology—it was about the people who make Spica thrive. At Spica, we know that our success stems from a connected, collaborative, and supported team.
Employee Spotlight:
Our team is the heart of everything we do, and 2024 gave us plenty of reasons to celebrate them. From work anniversaries to new beginnings. Several of our colleagues reached significant milestones, with some celebrating 4, 6, 7 and 8 years of dedication and excellence at Spica. We also welcomed 7 new starters to the Spica family, bringing fresh energy, talent, and ideas to our growing team.
Building Awareness:
At Spica, we believe that workplaces thrive when they’re inclusive, supportive, and empowering for everyone.
- On World Dyslexia Awareness Day, we advocated for neurodiversity, raising awareness of the challenges faced by neurodivergent individuals and the importance of creating inclusive environments where everyone can flourish.
- We proudly celebrated International Women’s Day, by hosting a webinar titled “Tech Sector’s Roadmap to an Inclusive Workplace,” where industry experts discussed strategies to address underrepresentation and promote diversity in technology.
Fun Moments:
Work isn’t just about tasks and deadlines—it’s about creating spaces where teams can connect, collaborate, and have fun together.
- Our Christmas quirky office awards brought laughter and camaraderie, recognising everything from the best office dressed and coffee addict to office grinch.
- Company-wide events throughout the year gave us opportunities to bond, celebrate, and support mental health and well-being, ensuring our team stays happy, healthy, and connected.
